Coaching Hub Terms of Service

These terms cover Coaching Hub, the 1:1 AI coaching service operated by Future Workshops Limited (FWL, UK). FWL is the contracting entity for all Coaching Hub engagements. By booking an engagement you agree to the terms below.

Who these terms are with

Coaching Hub is usually paid for by your organisation, but the coaching relationship is with you as an individual. When we say you we mean the person being coached and using the account. When we say your organisation we mean the employer or other body that pays for your seat. If you are accepting these terms on behalf of an organisation, you confirm you are authorised to do so, and references to you include that organisation where the context requires, for example for payment. The confidentiality promises below still protect the individual being coached.

Sessions

Each Coaching Hub engagement is sold as a recurring subscription that entitles the subscribing customer to a fixed number of coaching sessions per billing period (typically four 1-hour sessions per month). The current session allowance, length, and price are shown on your Coaching Hub billing page at the time you subscribe.

Coach assignment

Future Workshops assigns a coach to your engagement and may change the assigned coach at our discretion. We do this rarely, for example when a coach leaves the team, takes extended leave, or when we believe a different coach is a better fit for your goals. Where a change is planned we'll let you know in advance.

Payment, billing and price changes

Subscriptions are billed in advance for each billing period through our payment processor, Stripe. Prices are shown on your Coaching Hub billing page and are exclusive of VAT or other applicable taxes, which are added where required by law.

If a payment fails, we may retry it and may suspend access to coaching sessions and the platform until the outstanding amount is paid. We can change our prices, and will give at least 30 days' notice before a change takes effect for your next billing period. If you do not want to continue at the new price you can cancel as set out below.

Cancellation of the engagement

Either party can cancel the engagement at any time, effective immediately. There is no minimum term and no notice period. Billing stops at the end of the current billing period; the current period runs to completion and is not refunded pro-rata. Sessions you have already paid for and not yet used in the current period remain available to you until the period ends.

Cancellations and no-shows for individual sessions

Coaching sessions can be rescheduled freely with at least 24 hours' notice. A session cancelled inside 24 hours of its start time, or one you do not attend, is treated as used and counts against your allowance for that period. We will always try to reschedule when we reasonably can, but we are not obligated to do so.

1:1 only

Coaching Hub is a 1-to-1 service between the subscribing user and their assigned coach. We do not run group sessions under this product. If you'd like to bring additional members of your team into coaching, they need their own Coaching Hub seats; talk to us and we can set that up.

Acceptable use

Your Coaching Hub seat is for you alone. Please do not share your login, resell or transfer your seat, or let someone else use your sessions. Please also do not misuse the platform, for example by attempting to access other users' data, disrupting the service, or using it to break the law.

If you breach these terms, or use the service in a way that creates risk for us or other users, we may suspend or end your access. Where it is reasonable to do so we will warn you first and give you a chance to put things right.

Confidentiality

What you discuss with your coach stays between you and your coach. Your coach will keep the content of your 1:1 sessions, and any notes, goals, and materials you share in the course of coaching, confidential, and will not disclose them to your employer, your colleagues, or anyone else outside Future Workshops without your consent. This duty continues after your engagement ends.

This works both ways. Each party will keep the other's non-public information confidential and use it only to deliver and receive the coaching service.

There are a few limited exceptions. We may use session and usage data to run the service and to produce management reports for your organisation, but, as set out in our Privacy policy, those reports contain aggregate or cohort-level information only: individuals are never identified and no prompt content is included. We may also disclose information where the law requires it, or where we reasonably believe disclosure is necessary to prevent serious harm. Confidentiality does not apply to information that is already public, that a party already held, or that is independently developed without using the other's confidential information.

Intellectual property

We own Coaching Hub, the platform, and the materials we create, including the templates and the reports we generate. While your subscription is active we give you a personal, non-transferable right to use the service and to use the reports and materials we provide to you for your own development. You own the content you create in Coaching Hub, such as your notes, board cards, and the files you upload, and you give us permission to store and process that content so we can run the service for you.

Insights and reports (Beta)

Coaching Hub's Insights features, including weekly reports, organisational summaries, and session telemetry, are currently in beta. We make no representations or warranties about the accuracy, completeness, or fitness for any particular purpose of the data or insights surfaced by these features. You should not rely on them as the sole basis for any decision. We accept no responsibility or liability for losses, decisions, or outcomes arising from use of the beta Insights data. Insights features may change, be renamed, or be withdrawn at any time during the beta. We keep raw session telemetry for about six weeks (42 days) and then delete it automatically; the reports generated from it are retained so your history stays useful, and they are removed when you delete your account.

Service availability and third parties

Coaching Hub depends on third-party services to work, including Anthropic's Claude, and our hosting, payment, and email providers (Heroku, Stripe, Mailtrap, and Google). We do not control those services and cannot guarantee they will always be available. We aim to keep Coaching Hub running smoothly but we do not offer a guaranteed uptime level or service-level agreement, and the service may occasionally be unavailable for maintenance or for reasons outside our control.

Warranties and liability

Coaching is a supportive service and not a substitute for professional, legal, financial, or medical advice. We provide the service with reasonable care and skill, but we do not promise any particular result or outcome from coaching, and the service and any Insights are otherwise provided as is.

Nothing in these terms limits any liability that cannot be limited by law, such as liability for death or personal injury caused by negligence, or for fraud. Subject to that, we are not liable for indirect or consequential losses, or for loss of profit, revenue, or data, and our total liability to you for any claim connected with the service is limited to the amount you or your organisation paid for the service in the 12 months before the claim arose.

Changes to these terms

We may update these terms from time to time, for example as the product changes or to meet legal requirements. When we make a material change we will update the version and the date below, and we will ask you to accept the new terms before you continue using Coaching Hub. If you do not accept the updated terms you can stop using the service and cancel as set out above.

Governing law

These terms, and any dispute arising from them, are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction, regardless of which Future Workshops entity supports your engagement. Coaching Hub is contracted through Future Workshops Limited.

General

These terms, together with our Privacy policy, are the whole agreement between us about Coaching Hub. If any part of them is found to be invalid, the rest still applies. We may transfer our rights and obligations under these terms to another Future Workshops entity or to a successor of our business; you may not transfer yours without our agreement. If we do not enforce a term straight away, we can still enforce it later.
